A Growing Challenge with No Scalable Path Forward
A major Australian institution identified an opportunity to better manage an increasingly complex portfolio of regulatory responses, disputes, and internal investigations. Each new review introduced new stakeholders, new data, and new processes.
But the biggest challenge wasn’t just the volume of matters and data – it was the fragmentation.
Data lived in different hosting platforms across multiple third-party providers, approaches varied from matter to matter, and every new request from regulators or courts increased the risk of inconsistent or duplicative review.
The organisation required a secure, scalable platform to handle multiple matter types, while maintaining data integrity and workflow consistency across diverse legal teams and external counsel.
They turned to Herbert Smith Freehill Kramer (HSF Kramer) for help.
The Solution: One Centralised Platform
A longtime Relativity partner, HSF Kramer’s e-discovery team implemented RelativityOne, combining the platform's advanced capabilities with tailored process design to create a centralised, secure data environment.
Instead of splitting data across firms or matters, RelativityOne provided a single hosting environment with sophisticated permissions architecture. This enabled the client's entire panel of law firms to access matter-specific data securely and efficiently. Additionally, a dedicated repository workspace for previously produced regulatory and court documents ensured consistency in approach across both legacy and current matters.
The team applied a broad range of RelativityOne’s tools and capabilities across the varied matters supported through this solution.
Advanced analytic tools – such as sentiment analysis, name normalisation, communication analysis, clustering, email threading, and near-duplicate analysis – provided insight into data and helped surface documents of interest.
Further, workflow enhancements such as Review Centre, Automated Workflows and Relativity Short Message Format provided easy efficiencies across the processes.
HSF Kramer’s team was also able to enhance the client’s experience by building custom tools on top of RelativityOne, such as:
- Interreact by HSF Kramer for consistent decision-making
- Gemini by HSF Kramer for advanced duplicate detection
- Checkmate by HSF Kramer for enhanced quality assurance in large-scale document review
HSF Kramer also empowered the client with the generative AI tool, Relativity aiR for Review, enabling faster issue analysis and predictive insights. Combined with streamlined data processing to eliminate duplication and consolidate information, the client significantly reduced review burden and cost.
Throughout implementation and ongoing operations, a dedicated project team provided the client with continuous support and technical expertise.
The Results: Transformed Legal Operations at Scale
RelativityOne delivered transformative outcomes for the institution. The platform's abilities expanded significantly beyond a regulatory focus to support disputes, internal investigations, cyber incidents, and PII reviews. This expansion demonstrated RelativityOne’s flexibility and the client's confidence in its capabilities.
All in all, the client saw impactful results:
- Enhanced security and data integrity became standard across all legal matters
- Centralised hosting accelerated document access for legal teams
- Redundant data handling and review inconsistencies were dramatically reduced
Perhaps most importantly, the platform's agility enabled rapid onboarding of new technologies, positioning the client at the forefront of legal innovation.
"RelativityOne's ability to create a single, secure environment accessible to multiple legal teams and supporting law firms has been transformative. What once required fragmented systems and duplicated efforts now operates seamlessly within one platform."
